The incumbent provides front desk reception and direction to clients, staff, industry suppliers of Wynford, a corporate event production and management company. Wynford has been continuously honoured on the Best Workplaces in Canada list, and provides services which include creating customized incentive travel programs, conferences, experiential workshops, launch events, and all things in between.
  • Serves as first contact for the office, greeting clients, staff and suppliers (hotel, tourism boards, destination management companies)
  • Responding to general inquiries by telephone, transferring calls to the appropriate team member as required;  responding to email and in person inquiries
  • Schedules meetings, rooms and orders catering as requested for client  and event industry supplier meetings
  • Sorts incoming mail and distributes to the appropriate team member
  • Assists with room, refreshments and IT set up for all guests
  • Responsible for making arrangements for large volume shipments to both domestic and international destinations, including ensuring all appropriate customs documentation; performs all computer functions necessary to track various aspects of packages
  • Maintains staff kitchen by ordering snacks and/or arranging for maintenance of office and kitchen equipment
  • Maintains an inventory of office supplies and materials and coordinates payment where necessary
  • Maintains an efficient filing system for courier activity and receipts
  • Performs support duties for corporate event team members as required (proofreading name badges, itineraries, costings etc) 
  • Performs back up duties for Executive calendar management as required
  • 1-year post secondary certificate in Office Administration or an equivalent combination of relevant education and related practical work experience
  • Minimum of two years of related practical work experience, preferably in an creative, corporate events agency or professional services firm environment
  • Experience working with tight deadlines and managing multiple priorities
  • Excellent customer service skills with the ability to work as a member of a client-focused team; providing prompt communication with team members about issues and/or concerns
  • Strong oral and written communication skills
  • Sound problem solving skills and to independently resolve routine issues within the parameters of policies and past practices in the absence of a manager
  • Proven ability to work well under pressure while dealing with people in a courteous manner
  • Proven organizational skills to balance the details and demands of the position; demonstrating a sense of urgency in completing time sensitive tasks
  • Knowledge and understanding of working effectively in a diverse environment with an awareness and sensitivity to the requirements of different team members
